Privacy, in plain language.

1. Scope and accountability

This policy applies to TecShades' website, business inquiries, quotes, client communications, and the personal information TecShades handles while providing agreed cloud-administration services. A proposal, service agreement, or client instruction may provide additional details for a specific engagement.

TecShades is responsible for personal information under its control and uses it only for reasonable business purposes that have been explained, agreed to, or permitted by law.

2. Information we may handle

Information you provide

• Your name, business name, work email address, phone number, and role.
• The details you include in an email, inquiry, requested quote, support request, or other communication.
• Scheduling, proposal, contract, invoicing, and payment-record information needed for a business relationship.

Website and security information

Our hosting and security systems may record an IP address, browser or device information, requested page, referring page, timestamp, and security events. These records help deliver the site, diagnose problems, and detect abuse.

Information involved in client work

When an authorized engagement requires work in a business cloud environment, we may handle business contact details, account or tenant identifiers, configuration information, support records, and limited user information needed to complete the approved work. The scope and authorization for that access are addressed separately with the client.

Please do not send passwords, private keys, recovery codes, or other sensitive credentials through ordinary email. If secure access is needed, TecShades will arrange an appropriate method.

3. How we use information

We may use personal information to:

• respond to an inquiry and recommend an appropriate next step;
• prepare a requested quote, schedule work, and deliver agreed services;
• communicate about service, support, billing, or account matters;
• maintain records and meet tax, accounting, contractual, or legal obligations;
• operate, troubleshoot, protect, and improve our website and services; and
• prevent fraud, abuse, unauthorized access, or security incidents.

When you contact us voluntarily, you consent to our using the information you provide to respond and follow up on that request. You may withdraw consent for optional uses, subject to reasonable notice and any legal or contractual limits. Withdrawing consent may make some services impossible to provide.

4. Sharing and service providers

TecShades does not sell or rent personal information. We may disclose it only as reasonably needed:

• to providers that support hosting, content delivery, security, email, accounting, or agreed service delivery;
• to professional advisers under appropriate confidentiality obligations;
• when you or an authorized client representative directs or approves the disclosure; or
• when required or permitted by law, including to protect rights, systems, or safety.

Some providers may process information outside British Columbia or Canada. Information in another jurisdiction may be subject to that jurisdiction's laws and lawful access by its courts or authorities. We remain responsible for selecting providers and using reasonable contractual, administrative, or technical protections appropriate to the information and service.

5. Website data, cookies, and analytics

This website does not currently use advertising pixels or third-party visitor analytics. Cloudflare helps deliver and protect the site and, like our hosting provider, may process technical and security information or use technologies that are necessary to provide and secure the site.

If we later add analytics, advertising, a contact form, or another tool that materially changes how visitor information is collected, we will update this policy and provide any consent or choice required for that tool.

6. Retention

We keep personal information only for as long as reasonably needed for the purpose for which it was collected, an active or potential business relationship, security and recordkeeping needs, or applicable legal obligations. Retention depends on the type and sensitivity of the information and the reason it is held.

When personal information is no longer reasonably required, we delete, destroy, or de-identify it where practical and subject to backup, legal, and technical limitations.

7. Safeguards

We use reasonable administrative, technical, and contractual safeguards appropriate to the sensitivity of the information. These may include access controls, secure communications or access methods, provider safeguards, and limiting information to what is needed for the task.

No website, email system, or storage method can be guaranteed completely secure. If you believe personal information has been sent to TecShades in error or may be at risk, contact us promptly.

8. Access, correction, consent, and marketing

You may ask what personal information TecShades holds about you, request access to it, or ask us to correct inaccurate information. We may need to verify your identity before responding, and legal exceptions may apply.

Contacting TecShades about a service does not automatically subscribe you to promotional email. If we introduce marketing communications, we will use the consent and unsubscribe practices required for them.

9. Questions, requests, or complaints

If a privacy concern is not resolved after contacting us, you may contact the Office of the Information and Privacy Commissioner for British Columbia.

10. Changes to this policy

We may update this policy when our services, providers, or legal obligations change. The current version will remain available on this page with its last-updated date. We will provide additional notice if a change materially affects how we use personal information.
